Today, we’re tackling one of the most common questions we get here at SBS Essex Ltd: “Claire, which accounting software should I actually use?”
If you’ve spent any time looking at this online, you’ve probably been bombarded with adverts for Xero, Sage, and QuickBooks. It can feel like everyone is trying to sell you a subscription that costs a small fortune every month. But here’s the thing, at SBS Essex Ltd, we don’t believe in forcing our clients into one specific "box." We know that every builder, sparky, and plumber has a different budget and different needs.
Whether you want the "Rolls Royce" of construction software or you’re looking for a way to stay MTD (Making Tax Digital) compliant without spending a penny on monthly fees, we’ve got you covered. We’re flexible and inclusive, and we work with Sage, Xero, FreeAgent, QuickBooks, and Quickfile—so you don’t have to pay for expensive software just to work with us. That means we work with you, not the other way around.
Why Software Matters (Even if You Hate Computers)
We get it. You didn’t get into the trade to sit behind a screen and look at spreadsheets. You’d much rather be on-site getting the job done. However, with HMRC’s Making Tax Digital (MTD) rules, the days of the shoebox full of receipts are officially over. You need digital records.
The good news? The right software doesn’t just keep HMRC happy; it makes your life easier. Imagine being able to snap a photo of a receipt for materials, upload it instantly, and have your bank transactions categorised while you’re having a brew. That’s the power of the right kit.

The Heavyweight: Sage
If you’re running a larger construction firm with multiple projects on the go, Sage is often the go-to. It’s been around forever, and for good reason, they offer a FreeAgent "Sole Trader" starting base which works if you just need to stay compliant and aren't VAT registered, failing that – they offered tiered versions with competitive costings.
Why Builders Love It:
- Deep Job Costing: Sage is brilliant at tracking exactly how much a specific project is costing you in real-time.
- Inventory Management: If you hold a lot of stock or materials across different sites, Sage handles this better than most.
- CIS Integration: It’s built for the UK market and handles Construction Industry Scheme (CIS) calculations and submissions with ease.
The Downside: It can be a bit "corporate" and has a steeper learning curve than some of the newer apps. It also tends to be on the pricier side of the spectrum.
The Modern Favourite: Xero
Xero is probably the most popular choice for small-to-medium trade businesses right now. It’s "cloud-based," which means you can access it from your phone, tablet, or laptop anywhere.
Why Builders Love It:
- User-Friendly: It’s very intuitive. If you can use Facebook or a banking app, you can probably use Xero.
- Unlimited Users: Unlike some packages, Xero allows you to have as many users as you like. This is great if you want your spouse, your bookkeeper (that's us!), and your project manager all looking at the numbers.
- The App Store: There are hundreds of "add-on" apps specifically for trades, like Tradify or ServiceM8, that plug directly into Xero to handle your quoting and scheduling.
The Downside: The monthly subscription costs can creep up as you add more features.
The Game Changer for "Cash Tight" Builders: Mettle & FreeAgent
This is a big one, and something we’ve been talking to a lot of new clients about recently. If you are just starting out or you’re a sole trader watching every penny, you might not want to fork out £30 or £40 a month just for accounting software.
The Mettle Deal:
If you open a business bank account with Mettle (which is part of NatWest), they actually give you a full subscription to FreeAgent for… wait for it… FREE.
Why Builders Love It:
- Zero Monthly Cost: As long as you keep your Mettle account active, your software costs you nothing.
- MTD Compliant: FreeAgent is a top-tier software that is fully HMRC-compliant.
- Specifically for Small Business: It’s designed to be simple. It handles CIS, it handles VAT, and it even helps you forecast your tax bill so you don’t get a nasty surprise in January.
At SBS Essex Ltd, we love this option for our smaller clients. We don’t want you to pay for expensive software just to be able to work with us. If FreeAgent does everything you need, why pay for more?

The All-Rounder: QuickBooks
QuickBooks is a bit of a middle ground. It’s very visual and has some great features for those who are always on the move.
Why Builders Love It:
- Mileage Tracking: The QuickBooks app can automatically track your trips between jobs using your phone’s GPS. This is a lifesaver when it comes to claiming travel expenses.
- Great Mobile App: Their phone app is arguably one of the best for invoicing on the fly.
The Downside: Some people find the "behind the scenes" accounting a bit messy compared to Xero, but for most tradespeople, it works perfectly well.
The Hidden Gem: Quickfile
If you really want to keep things basic and low-cost without the "free-with-a-bank-account" route, Quickfile is a fantastic alternative. It’s a bit more "no-frills," but it gets the job done and is very inclusive for those who don't want the bells and whistles of a big brand, however the Free version it's not yet MTD IT ready.

- Go with FreeAgent (via Mettle) if you’re a sole trader or a small Ltd company and you want to keep costs to an absolute minimum while staying legal.
- Go with Xero if you’re planning to grow, have a team, and want the easiest possible experience.
- Go with Sage if you’re running large-scale projects and need to know exactly how much every single brick and bag of cement is costing you against your budget.
- Go with Quickfile or QuickBooks if you’ve used them before and like the interface: we’re happy to jump in and help!
Final Thoughts
The best accounting software is the one that you actually use. There is no point paying for Sage if it’s so complicated you never open it. Likewise, there’s no point using a free spreadsheet if it’s taking you five hours every Sunday to update it.
